BOARD MEETING MINUTES

January 17, 2021 

 

The Board Meeting opened with the Serenity Prayer at 5:04pm.  Introductions were made and the Twelve Traditions were read by Jean D.

 

Board members present: Daren G., Pat B., Martha D., Joe H., Sean M., Noah D., and Jean D.

 

Board members absent:  Jim M., John F.

 

Guests: Susan H.

 

Secretary's Report:  Martha noted that the December Board Meeting minutes had been distributed via email and no necessary corrections had been noted.  Jean motioned to approve the December minutes.   Joe seconded the motion and the motion passed.

 

Treasurer's Report:  The November and December financial documents were reviewed (Meeting Donation Summaries, Profit & Loss Statements, Balance Sheets and Wells Fargo banking statements).  Jean noted that Jerry has been kind enough to do the entries into Quickbooks.  Jean noted that the November meeting donation total reflects both October and November (roughly $800 each month; which was FY 20/21 goal). Re November profit and loss, Jean noted that Nov and Dec will still reflect decreased rent.  Sean motioned to approve both months’ documents. Pat seconded the motion and the motion passed.

 

Visitor Questions and Concerns:  Noah raised a question brought forward by a member; whether coffee can be made & served at the House now.  Daren noted that due to mask requirement, difficult to drink coffee.  Will keep as ongoing agenda item to consider monthly. Sean noted that people are bringing things to drink into the House. Daren reiterated that our goal is to keep the House open; reduce risks to extent possible. 

 

Committee Reports: 

 

Literature & Medallions:  Noah reported he completed inventory; no current purchasing needs noted.  

 

Facilities Maintenance: Pat reported no concerns at this time. 

 

Publications & Public Relations:  John not at meeting; no report.

 

Supplies: Joe reported supplies are in good shape.  Jean asked whether we need more salt for the sidewalk. Daren & Sean will check to ensure enough salt is on hand.  Sean had cleared the pathway; clear of ice and snow.

 

House Security:  Sean reported no concerns.  

 

 

Old Business:

 

Online meeting donations and at-house attendance numbers:  Martha noted that Tuesday 5:30pm has temporarily suspended due to no-to-low attendance.  Pat spoke about recent meetings’ attendance fluctuations.  He asked when does a meeting decide to suspend.  Daren reiterated that it’s up to individual groups to decide, as well as individual trusted servants who may feel uncomfortable with continued attendance due to COVID concerns.  Jean noted that donations seem to be up from the “chookies.org” online meeting platform.

 

DAS Website donations:  tabled until next month. 

 

New Business:

 

House phone: the phone has both a dial tone and a radio station on it.  Joe made a call on it, but had to yell to be heard.  Pat has checked it twice since then and it was fine; no radio station.  Daren checked tonight and radio station was on it.  Daren will get CenturyLink account information from Jean and will make call to customer service.

 

Liability Insurance:  Jean reached out to the insurance company. Copy was provided to the Church (Nadyne wanted to see).  The policy does not cover all members of the Board, only covers the executive committee members.  The policy does not cover COVID pandemic issues. Jean has the paperwork needed to add other Board members. She can’t get a quote until that paperwork is submitted.  Does not cover theft.  Noah asked if the Church can sue the DAS for an instance such as House burning down.  Joe mentioned that the current policy covers only 4 members of the Board. Noah suggested we do get quote on total Board coverage.  Daren will fill out the needed paperwork for quote.  Pat asked what is actually covered.  Daren will look at the policy to better understand it. 

 

Jean also found out that when people have COVID and are at the House, due to HPPA we cannot say who has it. 

 

Joe said on the phone it was beeping like there was a message.  Susan mentioned she thought it was set up where there was no answering machine.  Jean called the # and the message said the voicemail is full and no messages can be left.  

 

The meeting closed with the Lord's Prayer at 5:59pm.
